01 — Our Approach

How we work, across all three services

Every service from Anjung Rekod follows the same underlying method. We look at what documents a client holds, note what is present and what appears to be missing, and explain the published procedure for each item we identify. We cite where procedures are published; we do not paraphrase from memory.

We do not give opinions on whether someone is entitled to a particular benefit. We do not contact offices on a client's behalf. We do not handle money. These boundaries exist not to limit what we do but to keep things honest: we do what we are equipped to do, and we say clearly what lies outside our scope.

Across all services you can expect:

  • A written summary or output at the close of each milestone
  • Sessions available in English, BM, Mandarin, Hokkien or Iban
  • Published sources cited — not verbal opinions
  • Your originals handled securely and returned
  • No pressure toward further services at any stage

02 — Service One

Arrange This Meeting

A single ninety-minute meeting in Kuching, or by video call for clients elsewhere in Sarawak, in which we review the documents you hold and produce a written summary of what is present and what appears to be missing, together with the office that issues each item.

What the session covers:

  • Review of documents you bring or share by video
  • Written summary: what is present, what appears missing
  • Office listed for each document
  • Published procedure noted for requesting any missing items
  • Session in the language you choose

How it works, step by step:

  1. 01Contact us to book. We confirm the session date, the language, and whether it is in-person or by video.
  2. 02You bring or share the documents you have — originals or copies, whichever is available.
  3. 03We work through the documents during the session, noting each one and what it shows.
  4. 04We send the written summary within two working days of the meeting.
Good for: Families who want to know where they stand before deciding on any further steps. Also useful when a parent's documents have been gathered together for the first time and no one is quite sure what is there.

03 — Service Two

Remote Paperwork Support for Upriver and Coastal Towns

A three-month arrangement built for families outside Kuching. Includes scheduled video meetings, a courier account for sending originals safely to our office and back, scanning and return of every document within five working days of receipt, preparation of request letters for the client's own signature, a shared tracking sheet accessible by phone, and printed copies posted to the client at the close of each month.

Nine-month programme. Up to four family members in the archive.

A nine-month programme consolidating the working and identity records of a household, designed for families with members in different towns. Covers document collection across Sarawak by courier or home visit in Kuching, archival-quality scanning, a printed index and an encrypted digital archive shared with up to four named family members.

What the programme includes:

  • Archival-quality scanning of all documents
  • Printed index of the complete archive
  • Encrypted digital archive — up to four named members
  • Timeline reconstruction across multiple employers
  • Three family briefing sessions by video
  • Closing handover pack in English and Bahasa Malaysia

Programme milestones:

  1. Month 1–2Document collection and initial review. First family briefing session.
  2. Month 3–5Scanning, indexing and timeline reconstruction. Second family briefing session.
  3. Month 6–8Encrypted archive set up. Access shared with named members. Third briefing session.
  4. Month 9Closing handover pack prepared and delivered. All originals returned.
Good for: Families where the retired member held several types of employment, or where siblings in different towns want a shared, reliable record of what exists and where originals are kept.

06 — Standards

Protocols that apply across all services

PDPA compliance

We handle personal data in accordance with Malaysia's Personal Data Protection Act. Data is held only for as long as needed and is not shared beyond what is described in our Privacy Policy.

Published procedures cited

External references to published government procedures are marked clearly. Where we cite a procedure, we note where it is published so you can verify it yourself.

Originals always returned

We do not retain original documents beyond the period set in your service agreement. Every original is returned, with a scan on file only where you have agreed to this.

Language by arrangement

Sessions and written summaries are produced in the language you choose. We confirm the language at booking. Where a session uses two languages, we note both in the written output.

No agency or representation

We do not act for clients before any authority. Letters are prepared for your signature. If an authority requires direct contact, we explain clearly what is needed and you make that contact yourself.

Response within one working day

Calls and messages are returned within one working day. In the remote support and family programme, phone support is available during office hours: Monday–Friday 9 am–5 pm, Saturday 9 am–1 pm.
